Privacy Policy

1. About this policy
Good Life Tribe (“we”, “us”, “our”) respects your privacy. This policy explains what personal information we collect from our Travellers (“you”) and their families, why we collect it, how we use and store it, and how you can access or correct it.
‘Client’: A person or organisation that engages Good Life Tribe or makes or manages a booking for a Tour. Depending on the circumstances, the Client may also be the Traveller.
‘Traveller’: A person who travels on a Good Life Tribe Tour, whether they have booked directly or are travelling as part of a group or booking made by another person or organisation.
‘Tour’: A day trip, overnighter, extended trip, overseas trip or retreat offered and sold by Good Life Tribe.
2. What personal information we collect
Identity and contact details: name, address, phone number, email, and emergency contact details.
Payment information: processed through our payment provider; we don't store full card details ourselves.
Booking details: tour dates, pickup location, and any special requests.
Health, mobility and accessibility information: for example, mobility aids, allergies, medical conditions relevant to your safety on tour, and medication we should be aware of. Health information is considered sensitive information under the Privacy Act 1988 (Cth). We only collect health information with your consent and only to plan a safe tour (see Section 5).
Photographs and video taken during tours: where you haven't opted out (see our Terms and Conditions).
Feedback and complaints you give us: including through our end-of-tour feedback form.
3. How we collect information
Directly from you, when you make a booking, complete an intake or feedback form, or contact us.
From someone booking on your behalf i.e. a family member, friend, or support person.
From a referring aged care provider, where your tour is arranged as part of aged-care-partnered services.
Note that where someone makes a booking on your behalf, we may rely on that person to provide information reasonably necessary to make and manage the booking. Where sensitive information is involved, we may need to confirm your authority or consent where appropriate.
We take reasonable steps to keep personal information accurate, complete and up to date. Please tell us if your circumstances or contact details change.
4. Why we collect, use and hold your information
To process a booking and payment.
To plan and run a safe tour, including pickup logistics, seating, and any assistance you need.
To contact you or your emergency contact if needed, including in an emergency.
To respond to your feedback, questions or complaints.
To meet our legal obligations, for example, keeping incident records under work health and safety law.
To improve our tours, based on feedback trends we review as a business.
We don't use your information for unrelated marketing without your consent, and we don't sell your personal information to anyone.
5. Sensitive information such as health, mobility and medical details
We only ask for health and mobility information where it's genuinely needed to plan a safe tour, and we ask for your consent when you provide it. We may also collect, use or disclose information where this is otherwise permitted or required by law, including where reasonably necessary to respond to an emergency or protect someone's safety.
This information is only accessed by people who reasonably need it to plan, deliver or safely manage your Tour and is not used for any other purpose. You can choose not to provide this information, but this may limit our ability to safely include you in some Tours; we'll always discuss this with you individually rather than assume you can't participate (see our Terms and Conditions, Section 5).
6. Who we share your information with
Our Staff, including drivers and guides who need it to safely run your tour.
Service providers involved in delivering your Tour, where reasonably necessary, such as accommodation providers, venues, transport providers or activity operators.
A referring provider (such as aged care or disability services), where your tour is arranged through them, and only to the extent needed for that arrangement.
Our payment processor, to handle the Client’s payment securely.
Software and administrative service providers we use to run our business (for example, booking, accounting or communication tools). Some of our service providers may be located overseas or may disclose information to overseas recipients. Where we know this is likely, we will identify the relevant countries in this policy where reasonably practicable.
Emergency services, WorkSafe ACT, or other authorities, where necessary for your safety or where we're legally required to.
We don't share your information with unrelated third parties for their own marketing purposes, and we don't sell your personal information.
7. Marketing
If we'd like to give someone news or offers about future tours, we'll only do so with their consent (for example, if by signing up for updates). You can opt out at any time by telling us directly. You do not have to give a reason.
8. Photographs and media
We may take photos or video during tours for promotional use. We will tell passengers when photography or filming is taking place for promotional purposes. You can opt out without giving a reason (see Section 8 of our Terms and Conditions).
9. How we store and protect your information
Traveller personal information, including health and mobility information, is stored through our booking and administrative systems. Access is limited to people who need the information to perform their role. We take reasonable steps to protect your information from misuse, loss, or unauthorised access.
We use a combination of electronic systems and, where necessary, limited physical records to store and manage information. We take reasonable steps to ensure information is securely stored and access is limited to people who need it.
10. How long we keep your information
We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, to provide our services, to resolve complaints, and to meet our legal, regulatory, insurance and record-keeping obligations. Different types of records may therefore be retained for different periods.
11. Accessing or correcting your information
You can ask us at any time to see the personal information we hold about you, or to correct it if it's wrong. There's no charge for this. We may need to verify your identity first, and we'll respond within a reasonable time. Contact us using the details in section 14.
12. Privacy incidents and data breaches
If we become aware of a privacy or data security incident, we will assess what has happened and take reasonable steps to contain and address it. Where required by law, we will notify affected individuals and the relevant regulator.
13. If you have a privacy concern
If you're unhappy with how we've handled your personal information, please tell us first (see our Customer Complaint Handling Policy). If you are not satisfied with how we handle your privacy concern, and the Privacy Act applies to us, you may contact the Office of the Australian Information Commissioner (OAIC).
14. Updates to this policy and contact us
